Responsabilités
The Administrative Assistant reports directly to the President and assists him/her in certain tasks. On a daily basis, he/she is responsible for providing general administrative support to the teams.
RESPONSIBILITIES
- Supports the President in the execution of his/her daily responsibilities and the management of various files/documents by acting as a point of contact for all SCV Group departments and provides general information;
- Facilitates liaison between management and the various departments;
- Organizes and attends certain meetings and writes the minutes;
- Ensures a permanent high-quality reception and customer service at the office reception desk, as well as the reception of telephone calls;
- Ensures the management of postal and electronic mail information in the "info" e-mail boxes, transmitting information internally and externally;
- Prepares and follows up on special mailings (Dicom, FedEx, etc.) when required;
- Responsible for building requirements;
- Maintains an inventory of stationery materials;
- Participates in the organization of internal and external events: planning and logistics;
- Conducts research, compiles data and prepares documents for review and presentation to management;
- Prepares and conducts linguistic review of confidential documents, memos and correspondence for signature and distribution;
- Participates in the writing of presentations and reports and coordinates the preparation, production and presentation of these documents;
- Occasionally assists with proposals for service offerings, marketing presentations or marketing materials for the company's services;
- Participates in the development of requests for proposals, requests for information, requests for qualifications and proposals and bids;
- Performs physical and digital filing; and ensures that it is updated on an ongoing basis;
Qualifications
- Possesses theoretical knowledge equivalent to a college level education (DEC, technical school diploma, vocational program) plus 2-3 years experience in similar functions;
- Demonstrates flexibility;
- Basic knowledge of technical terminology in a construction environment;
- Proficiency in Microsoft Office (Word, Excel);
- Fluency in written and spoken French;
- Good knowledge of written and spoken English (strong asset).
