Position Summary

As a key member of the Information & Operations team, the Gifts Administrator will be one of two individuals responsible for processing online donations that received through our various online fundraising platforms. Processing will be done in accordance with the Foundation policies and procedures, ensuring the accuracy and integrity of data for donations received. The successful candidate will have experience with importing gifts using database integration tools such as Import Omatic, and experience processing a wide variety of gifts, preferably in a complex non-profit environment. The Gift Administrator will also have some processing accountabilities related to our growing monthly giving program.

Responsibilities

  • Complete timely and accurate entry of donations received through online giving platforms including Luminate Online, TeamRaiser and FunRaisin. Includes download of daily gift files, data clean-up in Excel, and file preparation for import using Import Omatic.
  • Ensure downloaded data is accurate and captured in its entirety in the appropriate systems and confirming the import procedures run without error. In the event of missing or inaccurate information, work with key stakeholders to identify and address issues.
  • Process a variety types of gifts, including general donations, tribute gifts, event gifts, peer-to-peer fundraising, and recurring monthly gifts.
  • Ensure all new and updated donor records reflect Foundation best practice coding policies.
  • Assist in evaluating and updating online gift processing operating procedures with an eye to increase productivity and quality assurance; keep related documentation up to date.
  • Support the processing and administration needs of the monthly donor program, , as needed.
  • Other database related support as required, including but not limited to merging records, address updates, and other clean-up projects.

Requirements

  • 3+ years of experience working with donor databases, data imports and gift processing in a fundraising organization, or equivalent experience.
  • Experience using Raiser’s Edge NXT strongly preferred.
  • Experience with online giving platforms such as Luminate/FunRaisin as well as database integration tools such as Import Omatic/Omatic Cloud (IOM) and NXT plug-ins considered an asset.
  • Proficiency in the full suite of Microsoft Office 365 applications.
  • Exceptional attention to detail with a high level of accuracy, organization skills, and time management.
  • Ability to work collaboratively with team members across shared job functions, as well as independently.
  • Knowledge of data privacy laws, fundraising professional standards and ethics.

  • Fast pace, service and results oriented environment.
  • The Foundation has a hybrid work model. Staff will be required to be in office minimum of 2 days a week (specifics to be planned with your manager) and have a safe home office set-up for those days you would be working from home.
  • Ability to work cooperatively with colleagues in all positions throughout the Foundation.
