SALARY RANGE: $75,000 - $80,000 per annum

POSITION SUMMARY

Reporting to the Manager, Fund Reporting, the Grants Officer will correspond with fundholders within UHN to support their functional area by ensuring they are aware of fund balances; they will assist with the commitment of funds to UHN to allow fundholders to spend the funds held by the Foundation in accordance with donor intent and UHN policies and procedures; and finally, the transfer of funds to UHN after expenditures have been incurred. A key component of this position requires ongoing and positive communication with fundholders and the Analysts within Research Financial Services (RFS) at UHN who oversee and are responsible for the spending of funds committed by the Foundation.

KEY RESPONSIBILITIES

  • Ongoing communication with fundholders.
  • Significant investigation and analysis to support fundholders and major gift fundraising staff as to revenue received in particular funds and the disbursements from funds.
  • Preparing reports and analyses for fundholders; resolving problem for fundholders
  • Assisting fundholders with expenses being paid by RFS or UHN Finance, including being involved in the most effective and efficient way for specific transactions to be processed by UHN.
  • Processing grant requests, including initiation of grants or amending fundholders.
  • Generating commitment letters and encumbering funds when commitments have been made to RFS.
  • Regular communication with Foundation staff, including the major gift fundraising team and the gift administration team regarding specific funds for donations received.
  • Responsible for grant administration including the completion of fundholders’ terms of reference and assisting fundholders with the creation of forms necessary to open funds with the Foundation and cost centres within RFS.
  • Assist the Financial Reporting Team with month-end closing procedure as it relates to grants.
  • Responsible for ensuring the accuracy of quarterly distribution of fund statements to fundholder.
  • Supporting external financial statement audit and internal audit activities
  • Liaising with foundation staff, UHN hospital fundholders, bank, and other external business contacts as required.
  • Assisting in training for new staff.
  • Performing other responsibilities consistent with the position.

QUALIFICATIONS & EXPERIENCE

  • University degree in accounting and working towards CPA designation is preferred
  • Minimum of 3 years of experience working within a Finance department Skilled in performing accurately detailed numerical computations using large amounts of financial and/or statistical data
  • Skilled in preparing detailed reports
  • Advanced or Expert knowledge of Microsoft Excel.
  • Effective organizational, time management and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Strong attention to detail.
  • High level of customer service.
  • Strong analytical, problem recognition and problem-solving skills
  • Able to effectively handle a large number of issues simultaneously
  • Able to work effectively and efficiently under pressure / stressful conditions
  • Demonstrated ability to work in a dynamic, fast-paced team environment.

  • Experience working in a not-for-profit environment an asset

  • Fast-paced, service and results oriented environment
  • May have some activity outside of the office to support meetings
  • The Foundation has a hybrid work model. Staff will be required to be in office a minimum of 2 days per week and will be required to have a safe home office set up for the remainder of the working days (specifics to be planned with your manager).
