SALARY RANGE: $59,000 - $64,000 per annum

POSITION SUMMARY

UHN Foundation is seeking a Gifts and Operations Administrator to join the Gifts & Records Administration team. This role serves as a key member of a dynamic team, responsible for payment processing and ensuring an efficient start to the gift processing workflow for all team members, in alignment with Foundation policies and CRA requirements. The position supports gift processing, receipting, document administration and the maintenance of systems, tools, and data used across the Foundation.

KEY RESPONSIBILITIES

  • Process payments and coordinate batching of donations for deposit, ensuring protocols are followed and required approvals obtained prior to payment processing.
  • Daily bank reconciliation; seeking out and identifying anomalies.
  • In person bank deposits as required.
  • Manage all donation alerts; provide timely confirmation of receipt, triaging, preparing for the next stage of donation processing and filing related correspondence.
  • Communicating with donors, colleagues or vendors to respond to inquiries and/or resolve payment issues in a timely and professional manner.
  • Team administrative support including supply management, external and internal mail systems, data entry, etc.
  • Support the development and refinement of tools, templates, and documentation that enhance administrative and data entry processes.
  • Support the gift processing needs of other portfolios, as required.

QUALIFICATIONS & EXPERIENCE 

  • 3+ years of experience in a similar role, preferably within a not-for-profit environment.
  • Experience using a donor or customer database, with Raiser’s Edge NXT experience strongly preferred.
  • Proficiency in the full suite of Microsoft Office 365 applications.
  • PaperSave experience an asset.
  • Knowledge of data privacy laws and fundraising professional standards and ethics.

WORK ENVIRONMENT

  • While the Foundation has a hybrid working model, this role will be on-site at Toronto General Hospital during regular office hours (9am-5pm).
