SALARY RANGE: $52,000 - $58,000 per annum

POSITION SUMMARY

As the Donor Services Coordinator, you’ll be the welcoming face of UHN Foundation and a key member of the Information and Operations team. You’ll support donors, visitors and staff at the front desk while also coordinating a variety of administrative tasks that keep our daily operations running smoothly. The successful candidate will have a welcoming, service minded presence, balanced with strong organization, attention to detail, and the ability to manage multiple priorities in a busy, people focused environment.

KEY RESPONSIBILITIES

Front Desk and Customer Service

  • Deliver exceptional customer service to donors, visitors, volunteers and staff.
  • Welcome and direct donors and visitors with professionalism and warmth.
  • Accept and process walk-in donations with accuracy.
  • Answer telephone, email and in-person donor inquiries in a timely and professional manner.
  • Receive and manage deliveries and courier packages.
  • Coordinate outgoing courier requests from staff.
  • Oversee daily mail pick-up, sorting, and distribution.
  • Confidently speak about the Foundation’s programs, impact, and giving opportunities with potential donors and visitors.

Administrative Support and Coordination

  • Provide general administrative support, including booking meeting rooms and issuing parking vouchers.
  • Provide calendar support to the CIOO.
  • Assist with expense, P-card, and invoice reconciliation.
  • Provide back-up support for office administration requests.
  • Perform other duties as assigned.

QUALIFICATIONS & EXPERIENCE

  • 2-3 years of customer service experience in a professional or service-oriented environment.
  • Strong administrative, organizational and time management skills, with the ability to balance front desk and administrative responsibilities effectively.
  • Exceptional attention to detail and accuracy, with a proactive and self‑motivated work style.
  • Excellent interpersonal skills and ability to build positive relationships.
  • Resourceful, dependable, adaptable, and solution oriented.
  • Demonstrates professionalism, discretion and sound judgement.
  • Administrative experience handling expense payments and invoice processing.
  • Collaborative team player who thrives both independently and within a team.
  • Proficiency in the full suite of Microsoft Office 365 applications, and ability to quickly learn new systems and tools.
  • Experience in complex non-profit or health care settings, or supporting senior leaders is an asset.

WORK ENVIRONMENT

  • Onsite role 5 days/week, during regular business hours with continuous interaction with donors, visitors, and internal and external stakeholders.
  • Fast-paced, service and results oriented environment.
  • Occasional activity outside of the office to support business activities.
  • Ability to work cooperatively with colleagues in all positions throughout the Foundation and hospital.
  • Shared commitment and support of the overall Foundation goals.
