Position summary

The incumbent will be responsible for providing a high level of administrative and strategic support to enhance the cultivation, solicitation and stewardship activities of the Senior Vice President, Major Gifts. The candidate will be responsible for ensuring prospect activities and reporting are conducted in a well-organized and efficient manner including the management and oversight of prospects in the range of $100,000 - $1M+ on behalf of the Senior Vice President, Major Gifts. The incumbent must have exceptional time management skills with a calm and positive demeanor in a fast-paced, deadline-driven environment, while managing multiple projects and priorities. The incumbent will also provide administrative support including planning and coordinating meetings, triaging requests coming into the office, and executing day-to-day office activities as they relate to administrative tasks for the team and leader.

Responsibilities

  • Prospect and donor management and coordination on behalf of the Senior Vice President, Major Gifts, ensuring that cultivation, solicitation and stewardship processes and procedures are maintained and optimized.
  • Develop, manage and coordinate multifaceted documents including correspondence, meeting notes, strategic briefs, proposals, reports and any other special reports as required by Senior Vice President, Major Gifts.
  • Exercise good judgement in decision-making in a busy working environment, ensuring that attention to detail is demonstrated at all times.
  • Is a project manager at heart who can manage multiple activities, multiple stakeholders and problem-solve to ensure activities stay on track.
  • Proactively anticipates challenges and provides solutions, prioritizing incoming issues and concerns and communicating closely with Senior Vice President, Major Gifts, the Major Gifts team and senior leadership as required.
  • Acts as the frontline contact for internal/external calls and inquiries; triages and tracks requests as required.
  • Acts as a main contact between the Senior Vice President, Major Gifts and volunteer leadership, physicians and other hospital stakeholders to provide development support.
  • Assist the Senior Vice President, Major Gifts with senior administrative and strategic support, to manage calendars and schedules.
  • Manages and conducts special fundraising and other projects as determined by the Senior Vice President, Major Gifts.
  • Performs cross-functional and other duties consistent with the job classification as required.

Requirements

  • A relevant 4-year degree or, a relevant 3-year degree/diploma combined with a professional certification or, an equivalent combination of formal education and relevant experience.
  • 5-7 years of fundraising and stewardship experience, and experience working with senior professional fundraising staff and volunteers.
  • Proficiency in the full suite of Microsoft Office products and internet tools. Familiarity with and aptitude for Raiser’s Edge or other CRM required.
  • Excellent interpersonal, oral, and written communication skills to work effectively with stakeholders
  • Exemplary attention to detail with excellent planning, organizational and time management skills
  • Strong strategic aptitude with a demonstrated ability to problem solve and handle a diverse range of assignments with multiple timelines.
  • Proven ability to motivate and manage others, such as volunteers and staff.
  • Project management experience in a large and complex organization is a definite asset
  • Resourceful and self-motivated while remaining comfortable collaborating within a framework of a goal-oriented team environment
  • Possess a professional and mature presence with evidence of leadership, sound judgement intuitiveness, tact and diplomacy.
  • Ability to work cooperatively with colleagues in all positions throughout the Foundation.
  • Shared commitment and support of the overall Foundation goals.

Work Environment

  • Fast pace, service and results oriented environment
  • May have some activity outside of the office to support meetings with volunteers and sponsors.
  • The Foundation has a hybrid work model. Staff will be required to have a safe home office set-up 3-4 days per week and will be in office at Toronto General Hospital site for 1-2 days per week, (specifics to be planned with your manager.)
