Job description

Reporting to the President, this position is responsible for providing administrative support to the executive team of the organization.


  • Assist the executive team with day-to-day functions and in the management of records/documentation
  • Process, summarize and distribute mailĀ 
  • Liaise between management team and directors as well as other departments
  • Organize and attend meetings and record minutes
  • Prepare and distribute information as required
  • Manage corporate travel including reservations
  • Manage reservations for business development hospitality and entertainment functions
  • Manage reservations for the main conference room
  • Liaise with landlord with the needs of the building as required
  • Prepare and review confidential documents, memos, and correspondence for signature and distribution
  • Manage front reception and greeting guests with courtesy and professionalism
  • Research and compile data to prepare documents for analysis and presentations
  • Analyze memos, briefs, and reports received and to be sent
  • Prepare presentation material and draft reports using Word, Excel, PowerPoint, etc.
  • Maintain inventory of office supplies and manage office equipment
  • Perform any other task related to the position


  • College diploma, degree or equivalent
  • Over 5 years years experience in a similar role
  • Bilingual in French and English an asset
  • Basic knowledge of construction industry terminology
  • Proficient in Microsoft Office 365, Bluebeam and other database software
  • Procore experience an asset
