Job description

The Admin Assistant – Corp Strategy provides support to QHSE, HR, Marketing and Communications and Strategy & Development.

Responsibilities

The Admin Assistant – Corp Strategy has the following specific roles and responsibilities:

Human Resources Department:

  • Format resumes for the HR and Business Development as required.
  • Photocopy and compile HR documents as required such as reports, hire-on packages, presentations, etc. • Set up interview
  • Prepare employee files/folders.
  • Maintain Service Awards; ordering service awards, printing and framing service certificates.
  • Print and laminate/frame training certificate
  • Scan training records to the Training Coordinator
  • Update Job Descriptions
  • Assist with the coordination of Career and Recruitment fairs
  • Assist with the update of Human Resources section of In-The-Loop.
  • Assist with the development of PowerPoint presentations for FunFit sessions and Career Fairs.

Marketing and Communications:

  • Order Cahill Business Cards, including obtaining proofs and approval from employee.
  • Order print copies of Marketing documents, including obtaining a proof and quote from the printing company.
  • Provide logos for sponsorships, other Cahill subsidiaries, advertising, getting merchandise/decals printed.
  • Maintain merchandise inventory and re-order of commonly used merchandise.
  • Fill merchandise requests from job sites.
  • Fill donation requests for merchandise (packing and sending donation requests which are commonly received for golf tournaments, employee fundraisers, etc.)
  • Provide assistance with the development and amendment of PowerPoint presentations for Annual Staff Meeting, Christmas Dinner and Dance, etc., and general requirements for Senior Management.
  • Assist with managing Marketing content on In-The-Loop.
  • Maintain the Photo Library by copying photography to the Business Development directory when new photos arrive.
  • Burn CD’s for presentations.

QHSE Department

  • Support the day-to-day activities of the QHSE Department.
  • Format all QHSE policies and related documents.
  • Provide administrative assistance to other companies within the Cahill Group with procedures and forms development.
  • Maintain HSE documentation posted on In-The-Loop.
  • Maintain HSE filing system.
  • Maintain QHSE department supplies (safety handbooks, forms, banners, posters, etc.)
  • Serve as secretary to the Corporate OHS Committees and the Fabrication Shop OHS Committee.
  • Perform other administrative duties as required (typing correspondence, minutes of meetings, filing, etc.)

Other Responsibilities

  • Provide backup relief for the Receptionist when required.
  • Order all company office supplies and stationery.
  • General Administrative Assistance

Experience

The Admin Assistant – Corp Strategy position requires the following experience and qualifications:

  • Successful completion of an Office Administration program
  • Three to five years’ related experience
