Document Control Assistant
St. John's, NL

The Cahill Group is recruiting for a motivated and collaborative Document Control Assistant to join our team in St. John’s, NL. As a Document Control Assistant, you will report to the Document Control Manager and work closely with the document control team to control documentation throughout the organization. This includes ensuring documents are accurate, consistent, well organized, properly tracked, and distributed in accordance to company policies and procedures. Strong attention to detail and collaboration are key to success in this position.

What will you do?

  • Review, process, and control all pertinent project documentation in accordance with company policies and procedures.
  • Maintain Electronic Document Management System (EDMS) to ensure the latest documentation is available.
  • Receive and issue documentation via transmittal or submittal workflow, as required.
  • Communicate effectively with project team members, suppliers/sub-contractors, and clients to ensure successful project execution.
  • Review and understand project-specific and client-specified document control guidelines and implement as required.
  • Understand and implement company document control policies and procedures.
  • Support the project team with preparation of project documentation and turnover dossiers, when required.
  • Maintain company and project archives, both electronic and physical. (Requires lifting up to 40 pounds.)

What will you bring?

  • Two to five years of experience in the Document Control field, working for a project or construction-based company.
  • Strong attention to detail.
  • Records and Information Management Certificate is considered an asset.
  • Ability to meet strict timelines/deadlines when required.
  • Experience in compiling final project turnover documentation.
  • Must have experience in the following software – Microsoft Office Suite, Acrobat/Bluebeam.
  • Experience with Electronic Document Management Software is considered an asset.
  • Good written and verbal communication skills.
  • Excellent team collaboration skills, as well as the ability to work independently.

Note: Candidates must be eligible to obtain Reliability and Controlled Goods clearance. Canadian citizenship is required.
