Project Coordinator

Atlantica is recruiting for innovative and collaborative candidates for a Project Coordinator position in Dartmouth, Nova Scotia. As the Project Coordinator, you will report directly to the Operations Manager within the Electrical Division. As a key member of the team, you will assist project managers in the day-to-day administration tasks of the division.

Responsibilities:

Reporting to the Operations Manager and working in an exciting and collaborative environment, you will:

  • Assist Project Managers and Foreman, where applicable, in the day-to-day duties of project and service administration.
  • Set up and maintain accurate work orders and job and contracts for projects
  • Ensure change order logs are kept current and contracts are updated accordingly
  • Enter and track budget adjustments for projects
  • Prepare monthly billings and reports in coordination with Project Managers and Services
  • Acquire required documentation for each project and provide to the Client (e.g. Bonds, Insurance Certificates, WCB Clearance Letters, NSCSA Letters of Good Standing)
  • Communicate directly with Project Managers and Estimating Department regarding contract documentation
  • Track Site Safety Documentation and maintain training log for field staff
  • Maintain Electrical Inspection Reports for all customers, and ensure permits are closed upon project completion.
  • Assist with incoming service calls and dispatching to proper discipline
  • Assist with work order billings
  • Issue purchase orders and ensure accurate costing.
  • Review weekly timesheets for accuracy and distribute to appropriate Project Manager for approval.
  • Verify new hire paperwork is completed and liaise with the Union for referrals, training, etc.
  • Assist Project Managers and Designers with reporting needs
  • General office and administration tasks.

 

Who are we looking for?

Education and Experience:

  • Diploma in Business Administration preferred
  • 3 Years’ of experience in office administration role
  • Experience working with trades unions
  • Experience in construction industry
  • Experience using Jonas software preferred

  • Proven ability to communicate ideas and information in a clear and concise manner to the appropriate audience.
  • Effective writing skills in which produces professional quality material.
  • Ability to work well under pressure and with tight deadlines.
  • A positive solution-oriented approach.

Job Details:

  • Permanent, full-time
  • 37.5 hours per week
  • Monday to Friday
